Microsoft Teams Rooms Installation and Support in the Midlands

If your business runs on Microsoft 365, a Microsoft Teams Room makes meetings simple. A meeting booked in Outlook appears on the table panel, one tap starts the call, and everyone in the room and online can see and hear each other.

We design, install and support Microsoft Teams Rooms for businesses across Warwickshire, Coventry, Solihull, Birmingham and the wider Midlands, from one huddle room to a whole floor. For the wider picture, including bring-your-own-device rooms, see meeting room AV.

What is a Teams Room?

A Teams Room is a meeting room set up so that Microsoft Teams is built into it. Instead of plugging in a laptop, staff walk in and press one button. The room has its own camera, microphones, speakers, screen and touch panel, all working as one system.

Our Teams Rooms use Microsoft Teams-certified hardware from Yealink, Logitech or Poly. Certified kit is designed and tested to work with Teams, which matters when you roll out several rooms.

What we install

  • One-touch join from a table touch panel
  • Cameras that frame the room or follow whoever is speaking
  • Microphones, beamforming or ceiling, with noise suppression
  • Meetings from Outlook shown on the room panel
  • Wired and wireless screen sharing
  • Room-booking panels outside the door, as an option

Teams Rooms suit boardrooms, huddle rooms, executive offices and hybrid teams that meet on Teams every day. For larger rooms, we can add ceiling microphones and speakers, using brands such as Shure, as covered in our video conferencing guide.

Teams Rooms by room size

  • Huddle rooms: a single video bar with built-in camera, microphones and speakers, wall-mounted with no cables on show.
  • Medium rooms: two screens, one for people and one for content, with extra microphones so the far end of the table is heard.
  • Boardrooms: ceiling microphones, flush ceiling speakers and a camera that follows the speaker.

Meeting room design that works

Most meeting room problems come from the room, not the equipment: echo, glare and cameras in the wrong place. So we design the room first.

  • Acoustics: we check the room, and treat it where it needs it
  • Screens: sized for the furthest seat
  • Positions: camera, microphone and speaker positions planned on a drawing
  • Cables: hidden in furniture and walls
  • Controls: touch panel and programming, with optional lighting and blind control

You see the design before we start, and what we draw is what gets built.

Installation

Our own engineers install and test every room. We agree timings with you in advance, and can work out of hours to avoid disrupting your team. Where several rooms are involved, we use the same hardware and controls in each, so one set of instructions covers the whole office.

A Teams Room also depends on your network and your Microsoft 365 set-up. We coordinate with your IT team or provider, and our network services cover cabling, Wi-Fi, switches and firewalls if the building needs work. We hand over with staff training, so people know how to use the room from day one.

Support after installation

Teams Rooms run on software, and software needs updates. We can look after your rooms through an annual support contract, with regular health checks, updates and an engineer on site when something goes wrong. Premium Care includes an on-site response within 48 hours for critical faults. Teams Rooms we did not install can be surveyed and taken on too.

Questions we get asked

Do I need Teams Rooms, or will a bring-your-own-device room do?

If everyone uses Teams, a Teams Room is the simplest choice. If you meet clients on Zoom, Google Meet and Webex as well, a BYOD room may suit better. Our meeting rooms page explains both, and we advise per room.

Which brands do you use for Teams Rooms?

We use Microsoft Teams-certified hardware from Yealink, Logitech and Poly, and choose the one that fits the room and your IT setup.

Can you design rooms of different sizes?

Yes. We plan huddle rooms, medium rooms and boardrooms, and aim to keep the experience the same in every room.

Can you support Teams Rooms you did not install?

Yes. We can survey an existing room, tell you what state it is in and take it on, with a one-off visit or a support contract.

Planning a Teams Room?

Tell us how many rooms you have, how they are used and what is not working. We will visit and send a clear proposal.
